Software for law and accounting firms

Software for law and accounting firms: intake, filing, portals and deadlines

Ojastra builds software for law and accounting firms that lose billable hours to intake forms, document filing, status calls and deadline spreadsheets. We automate the administrative work around your practice, give clients a portal, and add AI drafting that a lawyer or accountant always reviews, for a fixed price.

Your client information stays confidential and in your own accounts, and we don't provide legal or tax advice. The professional stays responsible for the work.

Fixed price. You own the code. A working demo every week.

Where billable hours leak away

Intake by email, WhatsApp and phone

Client details, photos and voice notes land in five places, and nobody else in the firm can see the history.

Documents filed by hand

Files are renamed, sorted and linked to the matter or client record manually, and the one you need isn't where you left it.

Clients who call for status

Every 'where are we?' call is time away from billable work. A portal answers it without a person.

Deadlines in a spreadsheet

Filing dates and tax deadlines live in a sheet that one person updates. One missed row is an expensive mistake.

What we build for law and accounting practices

Client intake automation for law firms

Online forms, document requests and engagement paperwork collected in one flow into a matter or client record, ready for you to review.

Document filing and linking

Incoming files named, sorted and attached to the right matter or client, with a person confirming anything uncertain.

Client portal for accounting firms

Clients upload documents, see what's outstanding, check status and message the team in one place.

Deadline and task tracking

Key dates tracked with reminders to the responsible person and a view of what's due this week.

AI for law firms and accountants: drafting with review

First drafts of routine letters, summaries and checklists produced from your own templates and precedents, always reviewed and approved by a lawyer or accountant before they go out.

Reminders and follow-ups

Clients chased for missing documents and unanswered requests, so work isn't left waiting.

Confidentiality, review and where the line is

Client confidentiality comes first. We build on cloud accounts in your firm's name, with access limited to the people you choose, and Canadian hosting where your obligations call for it. We tell you which AI services touch client documents and where, before you agree to use them, and some tasks stay out of AI entirely.

AI here does administrative and drafting work. It doesn't give legal or tax advice, and it doesn't make decisions. Every draft is reviewed and approved by a lawyer or accountant before it reaches a client, and every automated action is logged. Your firm's obligations to its professional regulator stay with you, and we build to the rules your partners or compliance lead set.

Solo practices and small to mid-sized firms are the right size for this work. We meet GTA firms in person and work with firms across Canada by video. Businesses with $1M or more in revenue may also be able to finance a project like this through BDC's LIFT program; BDC confirms eligibility.

Questions owners ask us

How much does software for a law or accounting firm cost?

A single automation, such as client intake into your practice system or document filing, is typically $5K–$12K CAD over two to four weeks. A client portal or internal tool is $12K–$60K. A $1,500 blueprint, credited to the build, fixes the price.

Can AI draft documents for our firm safely?

It can produce first drafts of routine letters, summaries and checklists from your own templates. A lawyer or accountant reviews and approves every draft before it leaves the firm, the AI doesn't give legal or tax advice, and the firm remains responsible for the work.

Where is client data stored?

On cloud accounts in your firm's name, in a Canadian region when your obligations require it. The blueprint lists which services touch client documents, and anything that can't meet your confidentiality requirements stays out.

Can you build a client portal for an accounting firm?

Yes. Clients upload documents, see what's outstanding and track status in one place, and your team stops chasing by email. A customer-facing portal is typically $20K–$60K CAD over six to twelve weeks, and where a lighter version is enough we'll say so.

Do you give legal or tax advice, or replace our professionals?

No. We build software. We don't give legal or tax advice, and nothing we build replaces a lawyer's or accountant's judgment. It removes the administrative work around it.

Can you build deadline tracking software for filing dates?

It can track the dates you enter or that are extracted from documents, and remind the responsible person. A professional sets and confirms every critical date, and we don't offer the software as a replacement for your firm's own deadline controls.

How long does it take?

An automation takes two to four weeks, an internal tool four to ten and a portal six to twelve. You see working versions every week, tested on sample documents rather than live client files.
